(and what the answers really tell you)

For many organisations, the relationship with their IT provider is simple: something breaks, they fix it.

The internet goes down. A laptop stops working. Someone can't access their emails. Job done. But the reality is that great IT support isn't measured by how well problems are fixed. It's measured by how many problems never happen in the first place.

Your IT provider should be more than a helpdesk. They should be a trusted partner who understands your organisation, helps you plan for the future, and works behind the scenes to reduce risk, improve security, and support your goals.

So, when was the last time you sat down and asked them some meaningful questions?

1. Who will actually support us when we need help?

This question often reveals more than people expect. When you contact your IT provider, are you speaking to someone who already understands your organisation, your team, and your systems? Or are you starting from scratch every time you raise a ticket?

Consistency matters. The more familiar your support team is with your organisation, the faster they can resolve issues and the more tailored their advice becomes.

Top tip: Don't just ask who supports you. Ask how they ensure continuity and knowledge of your organisation. A good provider should be able to explain exactly how they build and maintain that understanding.

2. What are you doing proactively to reduce our IT risks?

Good IT support shouldn't be entirely reactive. Your provider should be monitoring your systems, reviewing potential vulnerabilities, and identifying issues before they become major problems. If they mention system monitoring, cyber security tools, or proactive maintenance, ask for examples.

Have they recently identified a security risk? Prevented an outage? Recommended an improvement that protected the business from future disruption?The difference between reactive and proactive support can be substantial, particularly when it comes to security and business continuity.

Top tip: Ask for a real-world example rather than a generic answer. The best providers will have plenty of stories to share.

3. How often do you review our systems and security?

Technology changes quickly.Cyber threats evolve. Software reaches end-of-life. New opportunities emerge that could improve productivity or reduce costs. Without regular reviews, organisations can easily fall behind.

Your IT provider should be having strategic conversations with you throughout the year, not just when a contract renewal is approaching.

4. If we were hit by ransomware tomorrow, how quickly could We recover?

It's an uncomfortable question, but it is one every organisation should ask.Most providers will immediately tell you that backups are in place.That's a good start.But backups alone aren't enough.

The more important question is whether those backups have been tested and how quickly systems can realistically be restored. Understanding recovery times helps organisations evaluate potential business impact and identify gaps before a crisis occurs.

Top tip: Ask when the recovery process was last tested. A backup is only valuable if it can actually be restored when needed.

5. How are you helping us plan for future growth?

The best IT providers look beyond today's support tickets.They take time to understand where your organisation is heading and how technology can support those ambitions.

Whether you're opening a new office, recruiting more staff, adopting new systems, or expanding services, your technology should scale with you. A strategic IT partner should be able to discuss:

6. What are you doing to help us stay secure and compliant?

Cyber security is no longer just an IT issue.

Most importantly, they should be able to explain these topics in plain English, not hide behind technical jargon.

The Most Important Question of All

Ultimately, IT support isn't just about technology.

It's about trust. It's about having confidence that somebody understands your organisation, is looking out for your best interests, and is helping you navigate an increasingly complex digital world. So before your next quarterly review or support meeting, ask yourself:

Does your IT provider know your organisation as well as they know your technology?

Because the best IT relationships aren't built on support tickets or response times. They're built on understanding, partnership, and a shared commitment to helping your organisation succeed.
